About the role

The Senior Administrative Executive supports the Executive Assistant of the CE’s Office in handling the full spectrum of secretarial, administrative and project management support for the SAL Leadership Team (SLT).  

The successful candidate will:  

  • Have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills while maintaining a realistic balance among multiple priorities
  • Handle a wide variety of activities and confidential matters with discretion
  • Have the opportunity to work with senior stakeholders and Judges’ PAs

Responsibilities

  • Ensure highest standards of secretarial, administrative and project management support is provided
  • Ensure effective calendar management for SLT
  • Ensure project management of assigned projects follow the set timelines
  • Secretarial Support
  • Maintain calendars, schedule and coordinate logistics for meetings and appointments and provide reminders to SLT 
  • Prioritise and manage correspondence 
  • Assist in coordinating Senate and Executive Board meetings  
  • Act as the point of contact between SLT and internal/external parties 
  • Administrative and Project Management Support 
  • Prepare or gather documents for meetings 
  • Process letters, cover notes and company resolutions for approval   
  • Assist in maintaining key documents and filing records for CE’s Office  
  • Assist in maintaining standard operating procedures to ensure consistent process and procedures   
  • Automation of routine tasks 
  • Manage and adhere to strict project timelines, track the progress of the project and prepare project reports and ensure compliance with government and safety regulations  
  • Process of invoices and expense claims  
  • Any other assignments as directed from time to time 

Skills and Qualifications

  • Has high levels of professionalism and confidentiality
  • Has excellent spoken and written English
  • Has good interpersonal skills and ability to work well with all levels of management and staff
  • Is analytical and meticulous
  • Is independent, with high level of initiative
  • Is able to prioritise and meet deadlines effectively
  • Is well-versed in Microsoft Office applications (Word, Excel, PowerPoint, SharePoint) and collaboration tools (Teams, Zoom, Asana). Background in Robotic Process Automation and/or data analytics a plus
  • Has a Degree in any field, with minimum 1-3 years of relevant administrative experience
  • Candidates with related experience in professional services will be advantageous
